e've grown up with Clients & Profits," says
Allan Karl, Vice-President of Accounts Services and co-founder
of Priscomm, which stands for Prism Communications. "Our logo
is a prism, and when light enters a prism if you twist or turn
the prism you see something different. That's the analogy we
present to our clients: Let us take your product and by twisting
it or turning it, it can be viewed differently and made more
presentable to the public."
Using C&P since the 1980's
Priscomm provides market communications,
hi-tech and business-to-business, print, direct mail and market
positioning for such companies as Antex, Teac, and 3 60 Systems,
among others. Before purchasing Clients & Profits in the
late 1980's, Priscomm used File Maker and an off-the-shelf
accounting system, neither one of which was very satisfactory.
Needing a cost accounting function for each project, Clients & Profits
PLUS seemed to be the answer to their problem. In January,
1996 they upgraded to Clients & Profits Pro.
He says: "For us, Clients & Profits
Pro is most effective in accounting, providing financial, cost
accounting and estimates, estimates, estimates. We do between
twenty and thirty estimates per week, so it's invaluable in
that capacity." They also use Clients & Profits Pro for
time-keeping, both daily time cards and weekly time sheets. "We
use it for media insertion orders, check-writing, billing,
and financial accounting."
Karl estimates that it took about
two months for the Clients & Profits Pro to pay upgrade
for itself. "But," he adds emphatically, "we're reaping the
rewards daily."
'Together and efficient'
There has been no resistance
by the staff, either, Karl says. "You have to remember that
we cut our teeth on Clients & Profits. |
We began using the program when
there was just three of us, and as others have come aboard
- we now have thirteen full time employees - they were thoroughly
trained. Our people love it. Some of our newest employees,
those who have come from other agencies who used other programs,
can't believe how well Clients & Profits Pro works for
us, or how well-organized we are, how completely this system
performs, how 'together and efficient' our shop is.
"With Clients & Profits Pro
we have to follow proper procedure. We have a history of each
client, which is key when estimating a new job for that client.
Our billing gets out more quickly and we can see just how much
each job actually costs, how much profit we've made - or lost
- on each job. Clients & Profits Pro does this for us.
They like the ability to look
at a client's project billing. "We can see the aging, know
the history of that particular client, and print out our financial
reports." Clients & Profits Pro is so much more effective,
and so much faster, than previous versions of Clients & Profits.
Because Clients & Profits is networked, they can see it
from any Mac or PC in the shop. "Having a multi-user system
is very key in an operation like ours. Everything runs smoothly."
"We like the automation of the
billing, the check-writing function, and the job summaries
gives us a quick look on how much time is spent on each job,
costs versus budgets." Clients & Profits Pro makes it possible
for them to make adjustments, if necessary, before billing.
This helps prevent embarrassing (and potentially costly) billing
mistakes.
