Digital Files of Graphics, Logos and Other Marketing Materials |

We have several clients that make frequent request to have digital files of graphics, logos and finished marketing materials be located and then sent to associates or vendor partners. It can sometimes take us several hours to track the down the item, make a digital copy, burn it on a CD and then ship it out or email it (depending on file size). Does your agency have this problem as well? We have been looking at an online service in which we can store our digital logos, graphics, brochures, photos and then retrieve or send links to items. Items can be located by client, by project number, by whatever criteria applied to the item when it was filed. Have you looked into such a service or do you have a service currently? If not, would this kind of a service be of interest to anyone in the group?

The idea is intriguing. We charge our clients our standard hourly rate + expenses (cost of media and shipping) when they request files. We bill them once a month under a blanket "Agency Services" job.

Most of your prep houses and/or printers provide this service. One system that was demonstrated to our department was offered by a company called EarthColor in NYC. This system was unique in that the images could be downloaded for either Mac Or Pc use. Or you can contact David Leach.

We receive requests like these, frequently, also. We can pull from our file server, CD collection or DLT tapes. We store our own files on Retrospect DLT tapes, nightly. When a job has been printed, we then burn our files of each job to a CD along with the final printer files. We file our CDs alphabetically by client name, then in order by job number. We also keep all client logos on our file server for easy access to be pulled as needed for jobs. We have recently compiled a database of client images, stored on our file server. I hope this answers your question and helps you in organizing your files for easy access.

Marketing By Design is an established design firm north of Boston. Many of our clients often reguest files and we use a system set up by our affiliate company, Workflow By Design, which specializes in workflow systems. Workflow By Design creates a custom web based asset management solution that enables companies to organize and distribute digital files quickly and easily and usually with a return on investment in the first year. In general, the system processes high-resolution files into variants for download. Other files that do not require processing; such as PDF files, Word and Excel documents, etc.; can be uploaded for distribution as well.
