Encouraging use of Print Specs |

Any suggestions for encouraging our production department to use the print specs in C&P? Our production department keeps everything in their heads, or on PO's. Hopefully, nothing happens to them.

We usually don't use the print specs in C&P either because, as you have seen in previous emails, it doesn't always fit the job. I always enter the specs on the PO in the description area and if it is entered in C&P you can always pull it up. I also keep a print out of the PO along with the specs from the printer in the paper folder that follows the job throughout the office. If you always keep your specs in both the paper folder and electronic job jacket, you should have no problem keeping track of them.

Your producers can include all the specs on their POs within the C&P system. I use C&P POs but copy my Microsoft Word print specs into the PO description box. That way, I am not constrained by the limitations of C&P's Print Specs but keep a record in the system of the job details.

As a production manager, I find that providing I always do a comprehensive purchase order (which gives me a history of supplier, qty, specs, cost and delivery details........)we have no problems. Anyone who can access "old jobs" can therefore track down historical purchasing. The spec sheets are way too restrictive for most jobs. They are inflexible and never adequately cover all components.

WE fax or pdf the print specs form to the Printer for quotes. A copy also goes in the job jacket. It really is a great way to keep track of the specifics of the print order.

We put the specs under the task field in the job, so that it shows up under the estimate when we print it out for the client. It is a great solution, as the client knows exactly what is being printed when they sign off. It also make the AE insist that the production dept. put the specs into C&P. We use the PO function in C&P too - are you using that?
