Clients & Profits provides a simple, yet powerful, function for finding client invoices
The Find A/R Invoices window makes
it easy to find the one invoice in a thousand that
you need. Invoices are located by searching on
a specific field (i.e., invoice number, job number,
date, etc.) using a selected method (i.e., last
added, exact match, contains, etc.).
If you know the invoice’s number, finding that invoice is easy: enter the invoice number, then click Find. The complete invoice appears in the Accounts Receivable window. But what if you don’t know the invoice number? The other "find by" options are more flexible: you can find all of the invoices for one client, for example, then browse through the list until you find the right one.
Invoices can be found by invoice number, job number, client number, invoice
date, due date, and the clients purchase order number. In all cases
youll choose a find by option, enter a search value (such as an
invoice number or a client number), then click Find. Clients & Profits
X will search the A/R database, listing all of the invoices that match
your search selections. Once the invoices are listed, they can be sorted
by clicking on a column heading (to sort invoices by date, for instance).
If Clients & Profits X didnt find the invoices you were looking
for, click the Find Again button then repeat these steps. Once youve
found the right invoice, double-click on it to show its complete
details including billing amounts and balance due.
To find the last-added invoice
When the Accounts Receivable window is opened, the last-added invoice
is shown automatically. If the invoice found wasnt the one you
wanted, click the Next and Previous buttons in the tool bar to browse
through the A/R database.
To find an invoice
1 From the Accounts Receivable window, click the find
More button (or choose File > Find Invoice).
When the Find A/R Invoices window opens, it automatically shows the last
set of invoices (or one invoice) youd found.
2 Choose a find field, such as invoice number, using
the Find By pop-up menu.
3 Choose a search method, such as exact match, using
the Show pop-up menu.
Depending on the find field you chose, the Show options include exact
match (which finds exactly what you enter), first added, last added,
contains (which finds invoices which contain the field value you entered),
or begins with (which finds invoices that begin with the find value).
4 Enter the find value, such as the invoice number
or client number, then click Find.
If only one invoice was found, the Accounts Receivable opens showing
the invoice. If several invoices are found, theyll be listed in
the Find window. Double-clicking on an invoice opens that invoice in
the Accounts Receivable window.
To view an invoices client payments
An invoices client payments can be reviewed by first finding an
invoice then clicking the Payments button. The Client Payments window
lists each payment made by the client to this invoice (if there are several),
showing the payment date, the clients check number, any discounts,
and the payment amount.
