Change orders document changes made to a jobs estimate after it has been authorized
A change
order can be added for any or all tasks on the job ticket. A long note can be included
to explain whats being changed. Since clients
will see this information, dont enter anything
confidential or potentially embarrassing. Each
change order has a standard type that quickly
identifies the kind of change order: Additional
Info, Agency Corrections, Client Revisions, FYI,
or a custom change order type. Task estimate
and change order amounts appear on job
progress reports. Both can be billed automatically in Accounts Receivable.
Change orders do not require an amount, but can be used to document changes to a job even if there will not be an additional charge. E-mail will be sent to the job’s traffic assignments informing them instantly of any new change orders.
To add a change order
1 From the Change Order window, click the add button
The Add Change Order window opens.
2 Select a type, then enter the date, description, and notes.
This information appears on the printed change order, so it should be clear
and complete. Type is used for reference, and doesnt affect the change
order. The last option supports a user-defined type of change order.
3 Enter in the estimated hours, budget amount, and estimate amount for each task.
Enter the new budget and estimate gross amounts (including markups, fees, and commissions).
4 Select a name(s) from the notify menu to send an e-mail notification about this new change order.
An e-mail notification can be sent about this change order by highlighting the name of a staff member, an assigned to traffic name, team members, or everyone. If you do not wish an e-mail notification to be sent, highlight the no one option in the notify menu.
5 Select who needs to approve the change order.
A change order can be setup to be approved by the client contact, the estimate approval names, or by no one at all.
6 Click Save.
Once a job has been closed, Change Orders can no longer be added. To add a new Change Order, the job must be re-opened.
